How to track an envelope's status and review its audit trail in CornerSpot

Once you’ve sent an envelope, CornerSpot keeps you informed at every step. Two things tell you exactly where a document stands: its status — shown as a pill on the envelope and a badge in the list — and its audit trail, a chronological, tamper-evident record of everything that has happened. This guide shows you how to read both, so you can always answer “where is this document right now?”

Envelope statuses, at a glance

Every envelope carries a status that reflects where it is in its lifecycle:

  • Draft — still being prepared; fully editable and not yet sent.
  • Sent — out for signature; recipients have their signing links.
  • Completed — everyone has signed; the envelope is fully executed.
  • Declined — a recipient declined to sign; the envelope is closed.
  • Voided — cancelled by a manager or admin after it was sent.
  • Expired — passed its expiration date before completion.

How to track a sent envelope in CornerSpot

The walkthrough below sends a quick demo envelope first, but tracking works the same for any envelope you’ve already sent.

1. Read the status pill on the envelope

Open an envelope from the E-Signatures list to see its builder. The status pill in the right-hand Actions card tells you its current state — here it reads Sent. Once an envelope has been sent, a banner notes that “This envelope was sent. Editing is no longer available,” because its documents and fields are now locked.

2. Review the audit timeline

On a sent envelope, scroll down to the Audit timeline. It lists every event in chronological order — when the envelope was sent, when each recipient viewed it, each field they completed, and whether they signed or declined — each with a timestamp and the actor. This tamper-evident history is what supports compliance and lets you prove exactly what happened, and when.

3. Track progress from the envelope list

You don’t have to open each envelope to keep tabs on it. On the E-Signatures list at /dashboard/esign/envelopes, every row shows a status badge and a recipient avatar stack — hover an avatar to see each person’s individual status (pending, viewed, signed, and so on). You can also search by subject, recipient, or document name, and filter by status to find exactly what you’re looking for.

When an envelope completes

When the last recipient signs, the envelope moves to Completed. The status pill turns green, a Download signed PDF button appears in the builder for the flattened document and certificate of completion, and a signed copy is emailed to everyone. If a recipient declines, the envelope moves to Declined instead and you’re notified with the reason.

Tips

  • Use the list’s status filter to surface everything still Sent and awaiting a signature.
  • The audit timeline is your source of truth for compliance — every entry is timestamped and attributed.
  • If a sent envelope is stuck, you can send a reminder, resend the signing link, or void it — all without losing the audit history.
